1. Introduction
This Escrow Policy describes how FixNeighbor LLC (“FixNeighbor,” “we,” “us,” or “our”) holds, releases, and refunds funds related to home services arranged through the FixNeighbor platform (the “Platform”). It applies to all transactions between property owners (“Clients”) and professional service providers (“Pros”) that are processed through the Platform and is incorporated into our Terms of Service by reference.
Capitalised terms used here have the meaning given in our Terms of Service.
2. How Escrow Works
When a Client books a job, the agreed price (the contract amount plus the Service Fee) is charged to the Client's payment method and held by our third-party payment processor (Stripe) in a designated escrow balance attached to the Pro's connected account. Funds are not released to the Pro until the conditions in Section 4 are met.
FixNeighbor does not commingle escrowed funds with its operating accounts. Card processing costs (currently 2.9% + $0.30 per transaction) are absorbed out of FixNeighbor's Service Fee margin and are not added on top of the amount the Client sees at checkout.
3. Eligible Transactions
Only invoices submitted through the Platform are eligible for escrow. Off-Platform payments (cash, direct bank transfer, third-party apps) are not protected by this Policy and are a violation of the Terms of Service.
4. Release of Funds
4.1 Pro Marks Work Complete
When the Pro finishes the agreed scope, they mark the job as complete in the Platform. The Client is notified immediately and asked to review and confirm the work.
4.2 Client Confirmation Window
The Client has seventy-two (72) hours after the Pro marks the job complete to either confirm satisfactory completion or open a dispute through the Platform. Once the Client confirms, escrowed funds are released to the Pro within one (1) business day, less the applicable success fee.
4.3 Auto-Release
If the Client neither confirms nor opens a dispute within seven (7) calendar days after the Pro marks the job complete, the escrowed funds are automatically released to the Pro on the eighth (8th) day, less the applicable success fee. FixNeighbor will send at least one reminder during this window.
4.4 Payout Timing
After release, the Pro's net payout is processed by Stripe and typically arrives in the Pro's bank account within one to two (1–2) business days, depending on the Pro's bank. FixNeighbor does not control bank settlement times.
5. Disputes
5.1 Opening a Dispute
A Client may open a dispute through the Platform within the seventy-two (72) hour confirmation window described in Section 4.2, or within thirty (30) days of completion for a latent quality defect that was not reasonably visible at confirmation. Opening a dispute pauses any pending release of escrowed funds.
Disputes must include a written description of the issue and, where possible, photographs and any relevant context (the original estimate, scope of work, and messages between the parties).
5.2 FixNeighbor Mediation
FixNeighbor will review the dispute, contact both parties, and attempt to mediate a resolution in good faith within five (5) business days. Possible outcomes include:
- Full release of funds to the Pro;
- Partial release to the Pro and partial refund to the Client;
- Full refund to the Client;
- The Pro returning to complete or correct the work as a condition of release.
FixNeighbor's mediation decisions are not legally binding, but both Clients and Pros agree to engage in the process in good faith before pursuing external remedies.
5.3 Escalation
If mediation does not resolve the dispute, either party may pursue the dispute resolution mechanism described in the Terms of Service. FixNeighbor is not a party to the underlying service agreement and is not obligated to litigate or arbitrate disputes between Clients and Pros.
6. Refunds and Cancellations
6.1 Cancellation Before Work Begins
A Client may cancel a job through the Platform at any time before the Pro begins work. The escrowed amount, including the Service Fee, is refunded to the Client in full.
6.2 Cancellation After Work Begins
If the Client cancels after the Pro has already incurred costs (for example, time on-site or supplies acquired), the Pro may submit a partial invoice for documented work performed. Disputes over the partial amount follow the mediation process in Section 5.2.
6.3 Refund Timing
Refunds are processed back to the original payment method within three (3) business days of the refund decision. The Service Fee is refunded together with the contract amount whenever FixNeighbor refunds the underlying job.
7. Chargebacks and Failed Payments
If a Client initiates a chargeback with their card issuer, FixNeighbor will respond on behalf of the Platform using the documentation available in the system. While a chargeback is open, any related escrowed funds are frozen. If the chargeback succeeds, the Pro's connected account may be debited for the original release; if it fails, funds are released as if the chargeback had not occurred.
FixNeighbor reserves the right to recover any chargeback losses, related fees, or fraudulent payment losses from the responsible party's connected account or future payouts.
8. Success Fee and Service Fee
Escrow releases are net of the tiered success fee charged to the Pro and inclusive of the Service Fee already collected from the Client at checkout. Both fees are described in detail in Sections 6.3 and 8.2 of the Terms of Service.
9. Tax Reporting
FixNeighbor and its payment processor will issue tax forms (such as IRS Form 1099-K or 1099-NEC) to Pros where required by law. Pros are responsible for keeping their tax information current in the Platform.
10. Changes to This Policy
We may update this Escrow Policy from time to time. Material changes will be posted on the Platform and, where appropriate, communicated by email. Continued use of the Platform after the effective date of changes constitutes acceptance.
